General Description of Position: The Assistant Director of Events provides leadership for the planning and execution of special events, meetings and activities on the Sellersburg Campus. He/she establishes/follows a special events process, managing event details from start to finish and keeping event records.
Major Responsibilities:

Event Coordination
•Schedule, coordinate, and implement major events hosted by internal departments, student organizations and external clients.

•Guide faculty, staff and external clients through the event planning process, providing support as needed, specifically by submitting purchase request, work orders, and A/V tickets on their behalf.

•Coordinate event details with other involved internal departments and external vendors

•Negotiate contracts for goods and services for College events and activities.

•Demonstrate sound fiscal responsibility in management and administration of College funds and accounts.

•Develop event timelines and maintain event records.

•Develop a tracking system of activities, utilization, and statistics of events.

•Serve as the onsite point-of-contact during all events in regard to logistics.

•Develop and lead the event project team.

•Coordinate major campus events: Legacy Award, Commencement, Employee Recognition, etc.

•Promote Ivy Tech facilities to area organizations and corporations.

Administrative Support
•Provide oversight of the hourly administrative staff for the Pfau Hall front desk

•Assist with the distribution of administrative work throughout the campuses administrative staff.

•Create and maintain a campus wide calendar of events

•Provide support to the Human Resource department in the areas of new hire orientation, recruiting and general administrative duties.

Minimum Qualifications: •Bachelor's degree required;
•Ability to develop and maintain close working relationships with both internal and external constituents.
•Must demonstrate the ability to take initiative and make decisions
•Interpersonal skills, attention to detail and the ability to handle major projects, simultaneously are required
•Strong communication skills
•Excellent customer service skills and positive attitude
•Ability to work with a diverse population
•Must possess a willingness and available to work evenings and weekends as needed.

 

Preferred Qualifications: •Experience with event planning

Work Hours: 8am to 5pm
Nights and evenings as needed for events
