General Description of Position: An employee in this position provides assistance to professional level staff members including Chancellor, Vice Chancellor of Enrollment Services and Student Success, Associate Director of Financial Aid, and Academic Advisors in support of Student Affairs functions. This support may include but is not limited to the performance of procedures and processes within areas of Student Affairs, maintenance of student files (information input and retrieval), interaction with students, maintenance of the Vice Chancellor of Enrollment Services and Student Success’ office, interacting with the college community, general public, and other duties as may be assigned. Ability to maintain confidentiality is required.
Major Responsibilities:

Assist in maintaining a smooth flow of students within the office at all times and general performance of clerical duties (i.e., answering telephones, taking messages, scheduling appointments, preparing correspondence, etc.). Become familiar with necessary forms utilized by the College, the federal, state and local government for, College admission, financial assistance, required reporting, etc. Provide basic information to students to assist in the completion of necessary forms. Ensure accuracy of documentation in student files. Relatedly, familiarity with FERPA and other Federal compliance mandates is required. Serve as a general resource in answering students’ questions. Respond to requests for information from students and, as directed by the Campus’ Vice Chancellor, work closely with him/her to assist in gathering information resulting from requests by outside agencies assuring appropriate documentation is available; generally be responsive to all student-related requests, inquiries and needs. Maintain and update student records (i.e., paper files and/or database files, scanning of information) utilizing the Banner student system. Handle student requests for transcripts and verification of enrollment in conjunction with the Office of the Registrar. Assist with the coordination of the registration process, which includes early, official and late registration. Familiarity and skill with computers and various software packages is required. Provide assistance for the maintenance of the back-up registration system in the event of automated down time during registration. Assist with screening and maintenance of student records, student tracking, telemarketing, and other initiatives and activities. Accurately maintain correspondence and database records. Assist in the scheduling of appointments. Maintain appropriate records and documentation. Responsible for the maintenance of the paper files and transmittal of admissions records to the Regional Office of the Registrar. Must be available to work evenings and Saturdays as assigned. Work as a team member of the Campus and the Enrollment Services and Student Success unit. Work in coordination with the Office of the Registrar. Other related duties as assigned by the Chancellor, Associate Director of Financial Aid, and Academic Advisors. Employee reports directly to the Vice Chancellor of Enrollment Services and Student Success. Work in concert with Vice Chancellor to schedule, coordinate and assist in administrative tasks as directed. Other duties logically associated with the position may be assigned.

Minimum Qualifications:

Employee must be a high school graduate. Employee must be computer literate and proficient in the Microsoft Office Suite (Word, Excel, Outlook, Access and PowerPoint). Must have a pleasant disposition, good attitude and ability to get along with others. Must have the ability to get work done timely and accurately. Confidentiality and trustworthiness are top priorities.

Preferred Qualifications:  Technical certificate or associates degree preferred.
Other Requirements:

 Official college transcripts required upon hiring, and employment contingent on acceptable criminal background check.
