General Description of Position:

Under direction of the Vice Chancellor for Academic Affairs and in collaboration with the Executive Director of Finance, Executive Director of Development and the Ivy Tech statewide grants office, the Grants and Academic Projects Coordinator coordinates the Kokomo Service Area’s grant proposal submission, grant management and academic project direction. The Grants and Academic Projects Coordinator performs research to identify, develop, and respond to grant opportunities; supports the development of grant proposals to private, state, and federal funding sources; and helps foster a culture of grants and philanthropy at Ivy Tech through strategic planning and collaboration with regional and statewide faculty and staff. The Grants and Academic Projects Coordinator also coordinates reporting requirements for successful grants.

Major Responsibilities:
  • Collaborate with faculty and staff to identify local, regional, and statewide needs related to grants and sponsored programs
  • Support project teams to prepare grant proposal narratives and budgets
  • Provide academic project oversight as assigned. 
  • Work with the Executive Director of Finance to ensure expenditures comply with granting organizations guidelines
  • Research and identify grant funding opportunities via numerous online resources; disseminate funding opportunities to the appropriate faculty and staff
  • Develop, write, and implement logistics of grant proposal preparation and submission, as well as grant-end reporting
  • Serve as a liaison on specific grant projects, working with the funding organizations to ensure timely coordination of activities
  • Prepare grant activity reports for regional leadership as requested
  • Develop and monitor budgets and oversee physical resources associated with selected grants and/or projects.
  • Strategize with Foundation, Systems Office and regional staff and faculty to foster participation in the grant process
  • Provide proactive management of grant documentation process and ensure routing/ tracking/ storing of information including grant agreements and contracts
  • Prepare grant activity reports for Systems Office leadership as requested
  • Complete special projects, assignments, and serve on committees as assigned

Minimum Qualifications:
  • A Bachelor’s degree is required.
  • Experience in conducting research on grant opportunities and successful grant management is required.
  • Experience working in a collaborative office environment is required.
  • An ability to engage professionally with college and community partners is required.
  • Proficiency with general computer skills is required (Microsoft Office applications including Excel, Word, Outlook and PowerPoint; social media).
  • Excellent oral, written and interpersonal communication skills are required.
  • Must exhibit professional demeanor; initiative; good judgment; be able to work well under pressure and independently; be detail oriented; and positively anticipate and respond to changing priorities.
  • A willingness and ability to travel occasionally on College business is required.
Preferred Qualifications:
  • Experience working in higher educational settings is preferred.
  • Experience working with granting agencies and foundations that support higher education is preferred.
