General Description of Position:

Serve as administrative assistant to the Director of K-14 Initiatives for Valparaiso and Michigan City.

Major Responsibilities:

Coordinate all academic activities with the Academic School Dean. Neat and accurate typing of tests, course outlines, letters, forms, documents, etc. Coordinate distribution of incoming and outgoing mail. Arrange appointments for Academic School Dean. Receive all incoming calls, take messages, arrange appointments, set up meetings, and make reservations. Maintain bookkeeping responsibilities, inventory control of equipment and supplies. Requisition supplies and equipment and update daily log. Responsible for duplication and collation of tests, syllabi, forms, etc. Maintain communications between the academic areas and other departments of the College. Coordinate and /or work with Student Affairs and Finance Office staff on matters involving students and faculty in these departments. Participate in the College’s registration process: A. Utilize the Banner System for the registration process. B. Assist with verification, accuracy, and completeness of registration forms. C. Answer telephone and walk-in inquiries regarding the registration process, programs, and courses. Maintain a log on expenditures and budget. Complete assignments as requested by the instructional staff within your area of responsibility. Type part-time contracts each semester, coordinate their distribution and collect them after they are signed by the employees. Develop and maintain an accurate, detailed filing system for present and past student files. Handle travel vouchers for Academic School Dean. Collection of data for student files eligible for the academic school’s programs. Receive, verify, and submit MOUs for participating schools offering dual credit courses. Download and report student testing scores.  Complete training mandated by the college and required for the job.

Other assigned duties by the Academic School Dean. Report directly to the Academic School Dean. Other assigned duties by the School of Health Sciences and Program Chairpersons.

Minimum Qualifications: High School Diploma or GED required. Must have office administration/secretarial training. Type proficiently. Have the ability to utilize the following software: Microsoft Word-Excel-Access-PowerPoint. Must be skilled in English, grammar, spelling, telephone techniques, bookkeeping and problem solving. Must have pleasant disposition, good attitude, and ability to get along with others. Must be a self-starter, well organized, capable of mature judgment, and able to work independently. Willingness to update skills as necessary. CONFIDENTIALITY AND TRUSTWORTHINESS ARE TOP PRIORITIES.

Preferred Qualifications: Associate Degree preferred. Data entry experience desired.
Other Requirements:

Official college transcripts required upon hiring, and employment contingent on acceptable criminal background checks.

Work Hours: Day, evening and/or Saturday classes, ask hiring manager for hours.
Hiring Range: $12.00 an hour
