General Description of Position:

The primary purpose of the position is to provide administrative support within the Office of Veterans Affairs. The assistant will work with VA eligible students to explain procedures and assist the Coordinator of Veterans Affairs in tracking necessary paperwork and forms and in completing reports to ensure compliance to federal code.

Major Responsibilities:

Customer Service

Administrative/Compliance Functions:

 

 

Veterans Affairs Resource Center and Express Enrollment Center

 

 

  • Greet students and prospective students who access the VA via person or phone, respond to their inquiries, and direct them to appropriate services. Quickly determine needs by asking appropriate questions and answer questions in a positive manner. Help to determine students' next steps by knowledgeably handling situations or phone calls (i.e. collecting, synthesizing, and evaluating student needs).

 

 

  • Brief new students regarding college policies and VA regulations.
  • Assist EEC in answering basic questions regarding student VA benefits and procedures.

 

 

 

Leadership & Planning Support

 

 

  • Provide support in planning, prioritizing, organizing, and coordinating the integrated functions of the office, including data collection, records maintenance, reports, web site updates, and services to students

 

 

  • Provide support in reviewing procedures and conducting surveys to improve services to students.
  • Provide support in development and maintenance of visiting resource provider schedule within the Veterans Affairs Resource Center.
  • Assist in planning and execution of the annual Veterans Resource Fair.

 

 

 

Administrative & Information Management Support

 

 

  • Support the Coordinator in completing required reports by collecting, tabulating, and formatting data as outlined in federal guidelines

 

 

  • Use and maintain information systems necessary to record and track activities with students and other individuals/organizations. Keep accurate records of office and program activities for reporting purposes.

 

 

  • Use technology to assist with general office tasks such as updating and copying materials, tracking budget activity, entering student records, running reports from various databases, and scanning and indexing student records.

 


 

  • Assist with information resources and distribution such as display units, informational kiosks, and web portals to ensure student access to materials and supplies related to Veterans Affairs. Order, duplicate, etc. materials as needed to keep units fully stocked.

 

 

 

 

 

  • Provide support in scheduling students for appointments and referrals.

 

  • Develop and maintain the schedule for VA work-study students.

Minimum Qualifications: Associates degree or higher plus one year experience in administrative support and working with diverse populations is required. The Administrative Assistant is expected to be able to process and respond quickly, efficiently and thoroughly to a large variety of information requests in a positive and personal manner. Must be able to effectively communicate and give directions and operate as a positive team member. Ability to work under stress during peak activity times and demonstrate considerable patience and diplomacy. Ability to handle difficult situations to reach positive solutions. Work on own initiative. Basic computer knowledge (including Word, Excel, Access, Outlook, and databases) necessary to complete work.  Knowledge of veterans educational benefits is preferred.
