General purpose and scope of the position:

The Operations Manager for the Center for Lifelong Learning (CLL) works collaboratively with the Executive Director in fostering and providing an educational environment that promotes personal enrichment for community members of all ages. The Operations Manager’s focus will be customer service and creating a smooth working environment for the team.

Major Responsibilities:

1. Gather, systematize, and manage CLL’s routine activities, such as tabulating evaluations, contacting
instructors to schedule upcoming sessions, etc.

2. Acquire expertise in required systems, including Lumens and Banner. Research and evaluate better systems when appropriate.

3. Work with students and colleagues on registrations and payments. Handle any difficulties that arise with either aspect, or otherwise work to create as smooth an experience as possible for registrations and payments.

4. Work with the Program Manager and HR to get new hires in place, including contract management and ensuring required training is completed. Review and approve timesheets.

5. Generation of information/reports for Executive Director, programming, and marketing.

6. Management of finances from budgeting to bookkeeping. Responsible for constant evaluation, improvement and economic viability of the CLL program.

7. Work with the Executive Director on compliance in risk management and the protection of minors.

8. Coordination of all course/event logistics, including purchasing supplies, materials and equipment. Manage decision-making regarding the running or canceling of courses/events and contacting participants.

9. Work with Executive Director of CLL, Waldron Artistic Director, and Executive Director of Resource Development as needed in grant applications/reporting.

10. Participate in community service, service learning, and civic engagement projects and activities as deemed appropriate by supervisor.

11. Other duties as assigned, consistent with commonly accepted practices.

Minimum Qualifications:

Bachelor’s degree required. A strong desire for efficiency. Excellent communication and organizational skills. Two (2) years supervisory experience desired. Ability to work under pressure and utilize computer software applications.
