General Description of Position:

The Executive Assistant provides professional and administrative support to the Hamilton County Campus Chancellor.

Major Responsibilities:

Coordinate daily operation of the Office of the Chancellor and serve as the initial point of contact for the office.

During the Chancellor’s absence, refer matters requiring attention to the appropriate authority or handle in a manner that minimize the effect of the Chancellor’s absence.

Oversee communications from the Office of the Chancellor: Assess and evaluate documents to determine routing and/or response, completion of travel arrangements, completion of forms, maintenance of calendar including scheduling appointments, compiling and distribution of minutes for the Office of the Chancellor, campus, and maintenance of files.

Participate in campus standing and ad hoc committees.

Research and compile information and supporting data for reports and activities for which the Chancellor is responsible.

Coordinate specific events for the Office of the Chancellor.

Prepare documents and record minutes for the Campus Board of Trustees.

Develop and/or coordinate with appropriate personnel of reports/presentations for Campus Board of Trustees.

Assist with projects related to the Office of the Chancellor including the preparation of reports as directed.

Oversee external and internal room reservation requests for meetings and events; coordinate event technology needs and room set up; ensure directional signage for event is in place as needed, and secure certificates of insurance as needed.

Assist with meetings, in-services, retreats, graduation, and other special events as assigned.

Prioritize incoming mail.

Order and maintain office supplies.

Minimum Qualifications:

Associate's degree and a minimum of 3-years' related work experience or appropriate combination of education, training and work experience.

Must have excellent technology skills, including proficiency in Microsoft Office.

Must have excellent communication, interpersonal and organizational skills

Must demonstrate ability to work independently and collaboratively and ability to organize and prioritize multiple tasks.

Must be able to maintain confidentiality of sensitive information.

Must demonstrate superior problem-solving skills.

Must demonstrate ability to proactively identify potential roadblocks.

Must demonstrate ability to promote an inclusive environment that reflects the broad diversity and backgrounds represented by our students and employees and which every individual feels respected and valued.

Preferred Qualifications:

Experience supporting executive level leadership.

Experience planning travel and completing travel expense reimbursements.
