General Description of Position:

The Information Center Receptionist (ICR) greets visitors in-person at the Franklin Campus main lobby and directs them to the appropriate department or enters them into the queuing system to be seen by a Student Services Professional (SSP) or Academic Advisor. This position answers phone calls and conducts other clerical and administrative assignments. The ICR will also be trained as a testing proctor for online and DSS testing and proctor tests during specified hours by appointment. 

Major Responsibilities:

Maintains working knowledge of admissions, registration, financial aid, orientation, assessment, and business support.

Proctors online and DSS tests during specified hours by appointment.

Assures the effective campus operation during the shift, including equipment operation, room readiness and safety. This at times will include the opening and closing of the facility.

Assists with all special projects and mailings, as well as provides filing, data entry, telephone and clerical assistance for the various departments in Student Affairs.

Reads and understands forms for all departments and provides proper forms to customers.

Verifies completeness of forms and accompanying materials.

Maintains appropriate inventory of necessary student and prospective student materials.

Compiles information packets and mails as requested by the Admissions office.

Greets visitors and students, clarifies and answers general questions, and/or enters students into the queuing system to be seen by a Student Services Professional (SSP) or Academic Advisor.

Assists guests in wayfinding on campus or directs them to appropriate personnel and/or department.

Distributes general College and Express Enrollment Center information (e.g., catalogs/program brochures/course descriptions and forms) to students.

Collects and date-stamps student forms for back office/processing support.

Functions effectively in a team environment.

Maintains working knowledge of emergency/safety procedures as provided by the supervisor.

Delivers information as needed to guests, students, and prospective students. 

Conducts all activities within the established guidelines of the Family Educational Rights and Privacy Act (FERPA).

Conducts various functions within IvyConnect (CRM).

Manages day-to-day operation of the mailroom.

Communicates effectively with internal and external audiences.

Minimum Qualifications:

High School Diploma or GED required.

This position requires patience, diplomacy, confidentiality, excellent communication and organizational skills.

A basic level of computer proficiency (primarily Word, Excel, Outlook) and the ability to learn to use new software as needed. 

Preferred Qualifications:

Some college experience.

Experience in a customer service environment.

Other Requirements:

The ability to process verbal and numeric information accurately and quickly.

The ability to handle difficult situations to reach positive solutions.

Ability to move around freely in an office environment, reach into filing cabinets and to lift and move up to 30 pounds.

This position requires timeliness and dependable attendance.

Some travel to Shelbyville or Columbus may be required to cover for vacations and absences.
